Organising and Leading Gatherings
Zoho Meeting not only allows you to create and manage online meetings but also saves all your created meetings and remote help sessions for future use. This feature becomes particularly handy after conducting several sessions. The Meetings section offers additional tools to help you organise your meetings efficiently.
Navigating the Meetings Tab
The Meetings tab comprises three subtabs or pages:
- Create Meeting: Form a new meeting by clicking the “Create Meeting” button.
- My Meetings: This section holds a record of every meeting you’ve scheduled, along with management tools.
- Invited Meetings: Here, you’ll find all the meetings to which you have been invited.
Exploring My Meetings
In the “My Meetings” section, you can perform several actions on your scheduled meetings:
- Meeting Details: Click on each topic (under Topic) to get the meeting specifics.
- Creation Time: The time when the meeting was created is displayed.
- Role: Your involvement in the session, such as presenter, is indicated by your role.
- Status: The status of a session can be either “Started” or “Not Started,” indicating whether it is currently active.
- Start/End Meeting: Your meeting will begin the moment you click the green “Start Meeting” icon. Once it turns red, you can end the meeting by clicking it again.
- Join Meeting: To join a particular meeting, you can see if the handshake icon is activated (when the meeting is started).
- Delete Meeting: Pressing the final icon, Delete meeting, will permanently delete the meeting.
Scheduling Recurring Meetings
Suppose your board meets regularly at 10 a.m. on Thursdays. Instead of creating the session from scratch every week, you can rerun it after creating it once in Zoho Meeting. The attendees already have the meeting key, so reminding them to join each week is unnecessary.
Setting Up Zoho Meeting
The Settings tab is where you’ll find options for basic configuration:
- Time Zone: Change the time zone to match your location.
- Email Reminders: Set an email reminder for 30 minutes before the event to ensure you don’t forget your upcoming meetings.
- Save Changes: Click the Save button to save any changes you make.
Seeking Assistance
Zoho Meeting, despite its powerful capabilities, is incredibly user-friendly. Most of its functions have been covered, but if you ever get stuck, you can refer to the official documentation at Zoho Meeting Help. Additionally, the forums are a great place to look for solutions to common problems (Zoho Meeting Forum).
