Attending a Gathering

Imagine you are an interested party seeking to attend a meeting. This can happen in two ways:

Joining via Email Invitation

  1. Access the meeting page through the email invitation.
  2. Click on “Join Now.”
  3. Enter the class, and you’re enrolled.

Joining without an Email Invitation

  1. Acquire the meeting key.
  2. Go to this URL: Zoho Meeting.
  3. Click “Join Meeting Session.”
  4. On the following page, type in your name and email address. Enter the meeting key in the Meeting Key/Session ID field.
  5. Click “Join Session.”

The choice between the Java viewer and the Flash player will be presented to you in a dialogue box. An ActiveX viewer is also available for Windows users. Pick the Java or ActiveX viewer to actively engage, meaning you can ask to be given control of the presentation. The Flash version limits you to the role of an observer.

To begin the session, select your viewer and then click “Join” once again. Trusting the Java applet may prompt you to see the certificate confirmation dialogue box once more. Click “Trust.”

The time it takes to see the presenter’s screen on your computer will depend on your connection speed and the presenter’s. You can see the presenter’s every move with respectable color and sharpness. The user experience is excellent, as shown by comparing the viewer’s screen and the presenter’s screen.

Conducting a Session of Assistance

Holding support sessions with remote assistance is one of the fantastic capabilities offered by Zoho Meeting. This is incredibly helpful if your company deals with information technology or if you have an IT department that manages multiple workstations in different places.

Remote Assistance for Customers

Assume a customer is experiencing problems with the software you provided them. Instead of wasting time and money on unnecessary field trips, your support staff can remotely access their computers and fix the problem.

Remote Assistance for Employees

You can also provide remote support to your own company if employees frequently have trouble with basic tasks like launching a program, printing, or backing up data. This saves effort and cash.

Currently, Windows computers are the best option for Meeting hosts. Support for Linux and Mac OS X is in the beta phase and will be available soon.

Methods for Conducting Remote Assistance

There are two ways to conduct a remote assistance session:

  1. Requesting Control Permission During a Regular Meeting: When a peer requests administrative privileges on the host machine to perform support duties, they can do this by going to the viewer’s toolbar and finding the “Request Remote Control” button.
  2. Running a Dedicated Remote Support Session: This involves starting a session specifically for remote support.

Steps for Remote Support in a Regular Meeting

  1. As the host or presenter, click “Yes” in the confirmation dialogue box that asks for permission to proceed with the support session.
  2. Once the control transfer is confirmed, click “OK” in the dialogue box.

Now, you can remotely execute applications and debug on the host machine.

Starting a Dedicated Remote Support Session

To start a remote session immediately:

  1. Locate “Remote Support” under the Meeting’s Home tab.
  2. After entering the client’s email address in the “Start Session” field, hit the “Start” button.

The client will receive a message containing the meeting URL and the meeting key for others to join if necessary. The viewer, Meeting Details, and Chat windows will open when the other party enters the session. This will show the host machine prepared for remote control. If the host is still unconnected or momentarily offline, a blue screen with “Waiting for the Presenter…” will be displayed.

Conclusion

Zoho Meeting is a powerful tool for conducting online meetings and providing remote assistance. By leveraging its features, you can reduce the need for in-person gatherings, saving time and resources while maintaining productivity and efficiency. Whether you’re supporting customers or assisting employees, Zoho Meeting offers a robust platform for seamless remote interactions.
