Introduction to Creating Custom Forms

In Zoho Creator, you’re not limited to a single form per application. If your current form doesn’t capture all the necessary data, you can easily add new forms. This flexibility allows you to expand your application’s functionality as your needs evolve.

How to Create a New Form

Navigating to the ‘Form’ tab within your application will show you all the forms currently in use. Here’s how you can add a new form to collect additional data:

Starting a New Form

  1. Access the Form Tab: Locate and click on the ‘New Form’ item at the bottom of the list to start creating a new form.
  2. Set Up the Form: You have a couple of options when setting up a new form:
    • Create from Scratch: Name your form, decide if you want to automatically create a view based on this form, and specify which application tab it should appear on.
    • Import Data: If you have existing data in Excel (XLS), CSV, or TSV formats, you can import this directly into a new form, making it easier to migrate pre-existing data into your application.

After configuring your form and adding the necessary fields, click ‘Done’ to finalize and start using your new form.

Configuring Email Notifications for Form Submissions

One powerful feature of Zoho Creator is the ability to set up email notifications for new data submissions. This can be especially useful in keeping track of entries made by authorized users.

Setting Up Email Alerts

  1. Go to the Forms Tab: From here, select ‘More Actions’ and then ‘Set Email Notification’.You can also choose to include user-submitted data in the email.
  2. Enable/Disable Notifications: If you find yourself overwhelmed by notifications, you can easily disable them by adjusting the settings in the same menu.

Linking Data Between Forms

In many applications, data across tables are related. For example, in an application tracking a CD collection, you might have separate tables for CDs and record labels. Linking these tables helps streamline data entry and ensures consistency across your database.

Example: Connecting Teacher and Course Data

Let’s illustrate this with an example from a school application, linking Teachers and Courses:

  1. Create the Teacher Form: Start by creating a form called ‘Teachers’. You might also include contact details or department affiliations.
  2. Submit Entries to Form the Teachers Table: Fill out this form to populate the Teachers table with data.
  3. Create the Course Form: Then, create another form called ‘Courses’. Add fields such as Course Name and Teacher.
  4. Set Up a Lookup Field: For the Teacher field, select ‘Lookup’ as the field type. This allows you to pull teacher names from the Teachers table to populate a dropdown in the Courses form.

Managing Lookup Fields

When setting up a lookup field, specify:

  • Source of Data: Choose the application and specific field from which to pull data.
  • Display Options: Decide how users should select options (e.g., Dropdown, Radio Button, Checkboxes).
  • Dynamic Updates: Ensure that any changes in the Teachers table, such as additions or name changes, automatically update the options available in the Courses form’s Teacher dropdown.
