By now, you’re likely as excited as I am about the possibilities that SaaS, particularly Zoho, offers. You’ve become proficient in using three key Zoho productivity suite applications: Writer, Sheet, and Show. These tools are robust substitutes for their desktop counterparts, providing additional features to boost productivity and streamline collaboration.
Getting Started
While creating, editing, exporting, and importing documents is straightforward, one essential element is missing from these apps: document management. Enter Zoho Docs, a dedicated document management tool designed to serve as your virtual file manager, akin to Windows Explorer, Mac OS Finder, or Linux Nautilus and Konqueror. Managing your online document collection with Docs is a breeze.
The Environment
To begin using Docs, navigate to http://docs.zoho.com or select Docs under Zoho Personal. The interface of Docs is neatly organized into two sections: the document viewer, which occupies the majority of the space, and the sidebar on the left.
The Sidebar
The sidebar comprises two panes: one displaying the online folder structure, collaborative groups, and file classification tags, and the other providing shortcuts to list files based on their types.
Other Features
- Link Bar: Located at the top of the screen, it contains shortcuts to general tasks unrelated to Docs.
- Menu Bar Buttons: These buttons facilitate common operations like New, Move, and Delete.
- The search box is located in the document viewer’s upper right corner and allows for easy content discovery.
Fundamental Functions
Organizing with Folders
Folders are essential for organizing your documents. You can create and manage folders in Docs to classify and arrange your files, just like you would with regular folders on your computer.
Managing Documents
Docs’ primary function is managing files, whether they’re documents created using Zoho products or imported from your local computer. Basic tasks like creating new documents, reading and editing existing ones, and importing and exporting documents from other applications are all supported.
Creating Records
You can start a new document by clicking “New” in the menu bar and choosing from Document, Spreadsheet, or Presentation. This will open a blank document in Writer, Sheet, or Show, respectively.
Accessing and Modifying Documents
One of the advantages of Docs is the ability to view and edit various document types online without downloading them. Supported files include spreadsheets, word processing documents, presentation files, and images.
File Uploading
Take these actions to upload files to Docs:
- Click the toolbar’s “Upload” button.
- Browse your computer’s contents and pick one or more files.
- Choose the destination folder.
- Click “Upload” to begin the process.
