Chat History: Keeping Transcripts of Conversations<\/h2>\n\n\n\n

Have you ever found yourself wishing for a better memory when trying to recall a specific conversation? Imagine having a personal secretary to record every word during your chats. While that might not be feasible, Zoho Chat<\/a> offers a close alternative by keeping a detailed transcript of all your conversations. These transcripts<\/a> are not only searchable and viewable, but you can also erase them if needed. You can even use a transcript to start a new chat, effectively continuing a previous conversation.<\/p>\n\n\n\n

Automatic Saving of Transcripts<\/h3>\n\n\n\n

To maintain a record of your discussions, you don’t need to take any manual steps. When a chat session ends, Zoho Chat automatically saves a transcript of the conversation. Any transcripts that you haven’t opened are marked as “unread”. In the Tab Theme, Zoho<\/a> moves unread messages to the top of your left-hand message list. You can mark them as read if you wish; Zoho will then transfer them to your Transcripts list. Each transcript includes the date and time of the conversation and the Zoho ID or name of the other participant.<\/p>\n\n\n\n

How to Access and View Transcripts<\/h3>\n\n\n\n

If you’re wondering how to access these records, Zoho makes it easy. Transcripts might accumulate quickly if you chat often. The volume can be daunting when you’re trying to find a specific discussion. Fortunately, Zoho Chat includes a dedicated search box for transcripts. You can start searching all your transcripts by typing a keyword. Zoho instantly begins to return results as you type, so you often don’t even need to press Enter to find the chat you’re looking for. Clicking on the desired chat in the results list will open its transcript in a new tab or window, depending on your theme.<\/p>\n\n\n\n

Continuing a Past Conversation<\/h3>\n\n\n\n

This feature is especially useful when you need to respond to or clarify something from a past discussion. To start a new conversation, simply look at the transcript of the chat you were in before. Like in an active chat, a text box appears at the bottom of the tab or window when you click on a chat to open it. Type your message, hit Enter, or click Send. The chat window will appear on the other person’s screen, displaying both your new comment and the transcript of your previous conversation. This is convenient when you need to end a conversation abruptly, whether in the middle of a debate or during a casual exchange of gossip.<\/p>\n\n\n\n

How to Remove a Transcript<\/h3>\n\n\n\n

To delete transcripts from Chat, the Tab Theme must be used. If you’re using the Desktop Theme, switch to the Tab Theme first. In the Lists pane, navigate to the Transcripts section, then find the transcript you wish to remove. A red “X” appears to the right of a transcript when you hover over it, and the transcript becomes highlighted. Click the “X”. Zoho will then ask if you’re sure you want to remove the transcript; click “Yes” to proceed.<\/p>\n\n\n\n

Remember, there are at least two transcripts for every chat: yours and the one the other person made. Even if you delete your copy, a second transcript may remain in your chat partner’s possession. Be mindful of what you say in Chat, as it could impact your job, friendships, or even your personal life. Someone might have recorded what you said.<\/p>\n\n\n\n

By leveraging the power of Zoho Chat transcripts, you can enhance your communication efficiency, ensure continuity in your discussions, and maintain a clear record of your digital interactions.
