Step-by-step Guide to Implementing a CRM Strategy

Now that we have finished discussing the basics of CRM in our previous articles, it is time to learn how to implement CRM strategies. This article will provide you guidelines for executing your business strategies on a CRM approach..

Step 1: Conduct a Business Needs Analysis

Having a clear understanding of what the business needs are the first step of implementing a CRM strategy. This will give you an idea of what exactly it is that your business needs, and which part would most benefit from a CRM.

As mentioned in previous articles, a CRM strategy can be used in a lot of different aspects in a business. This includes sales, marketing, customer support, customer service and more. It is also why it is crucial to review the needs of each business aspect. This way, you can determine your strategy for CRM based on those needs.

The idea is to have individual goals for each business aspect. Every member within the organisation also needs to buy into the strategy. This will be a major key in driving the strategy successfully. 

Another thing you need to understand is that implementing a successful CRM across the organisation is a whole process. It takes time and effort. The stakeholders need to make the decisions collectively, and everyone should be open to each’s views and needs. 

More importantly, these decisions should be based on realistic budgets and resources. Full calculations should also be carried out before deciding upon any kind of loyalty currency. 

Step 2: Know your Customers’ Need

By this point, you already know that CRM is all about the customer. This is why it is important to understand what your customer needs are, instead of focusing on the business needs alone. 

The service delivery and customer support elements of a CRM are all about meeting the customer’s needs. So, how can you determine what your customer needs are? Well, there are plenty of ways to do this. There are surveys, online polls, tests, and etc. 

When you are communicating with the customers to find out what they need, it is important to keep an open mind and listen. Listen to what the market tells you. 

Additionally, this is where online monitoring tools can come in handy. You can use these tools and insights from social media to have an inkling of what your customers think, feel and what. You can also look at past behaviour, churn rates and successes.

Step 3: Set Objectives & Measurements of Success

From a business perspective, it is always ideal to look at things in a long-term approach. This is why using a CRM strategy is ideal, and it is a long-term commitment. This means that you need to consider a long-term approach as opposed to taking things day by day. 

Listed below are some objectives and success measures you need to consider depending on your business needs:

The objectives above will be the basis of the metrics you select for measurement. There are a lot of different metrics that you can choose from when you are measuring your performance. The metrics that you will choose will be referred to as your KPIs or Key Performance Indicators.

Step 4: Determining Ways To Implement CRM

After identifying all the objectives of your CRM implementation, there is still more work to be done. The next step is to determine how you are going to implement your CRM. 

That includes figuring out what channels you will use, what data you will need to implement, what touchpoints will you leverage, and etc. You will also need to determine the tools you will need to gather the data you need and implement your initiatives across those channels?

Additionally, you also need to figure out how you will address the shift and communicate with your internal stakeholders? This must be done before you launch the initiative to your external stakeholders. 

The choices you will make will be based on what is available to you, and what you intend on embracing. The online world makes it easy for you to have a wide range of innovative spaces for your CRM delivery, the only thing you need to do is be creative when it comes to execution. 

Step 5: Time To Choose the Right Tools

Lastly, it is time to choose the right tools you will use. If you search the internet, you will know that there are a lot of different and incredible CRM tools available and all of these are available at a price. However, none of these CRM tools will be useful to you if you do not have a clear and concise CRM strategy in place.

This brings us back to the steps above which are to keep in mind that without knowing what your objectives are, what touchpoints and channels you are going to use. This also includes what data you need to collect and analyse, you cannot proceed to select your tools. This is why following this process step by step is important. 

There are several different CRM systems and tools, such as collaborative CRM tools, that combine customer data across all facets of an enterprise. There are also social CRM tools that can be used to collect data from social media, automatic link posting, identifying customer sentiments, and more. 

Operational CRM systems are available that are used to manage the most apparent consumer specific networks. Then there’s sales and marketing automation CRM tools to manage sales cycles, track leads, schedule transactions, generate detailed reports, and more. Lastly, there are analytical CRM tools that allow your company to record, save and investigate customer data. Analytical CRM tools help you understand your customers better based on their behavior. 

These are used in gathering information on customer preferences and needs. It can also be used to gather information on your competitors, the market, and the industry. CRM tools are also crucial for focusing on providing customer solutions as opposed to simply offering products and services.
