Zoho Mail simplifies the process of receiving and viewing emails, enabling users to manage their inboxes effectively with minimal effort. Yet, email management extends beyond merely reading and responding. Tackling Spam with Precision

Efficient Spam Reporting

Spam emails clutter your inbox with unnecessary and often malicious content. Fortunately, Zoho Mail makes it easy to eliminate these nuisances. To report an email as spam, simply click the “No” icon—a grey circle divided by a diagonal line—located on the far right of the email window. This action automatically moves the email to your Spam folder, allowing you to focus on more important messages.

Mastering Anti-Spam Controls

When you mark an email as spam, Zoho Mail adds the sender to your Black List, blocking future messages from them. You can also blacklist entire domains. Conversely, creating a White List ensures emails from trusted senders or domains bypass the spam filter, always reaching your inbox.

To manage these lists:

  • Navigate to Settings and select AntiSpam.
  • Here, you can view your Black and White Lists, add new emails or domains, or remove them as necessary.
  • Use the text box to enter an email address or domain, then click the + sign to add it. After making your changes, click Save.
  • To remove an entry, click the red X next to the item on the list.

Enhancing Email Visibility

Email Flagging for Priority Handling

Flagging emails is an effective way to highlight important communications. To flag an email, turn the flag icon next to the sender’s name red. This makes the email stand out in your inbox.

  • To mark an email as important, select it, then choose Mark As, and then Important from the menu above the message list. This action turns the message’s flag red.

You can also access all your flagged emails by selecting Flagged from the Views menu, simplifying the search for important messages without the clutter of less relevant emails.

Diverse Email Marking Options

Zoho Mail offers multiple ways to categorize and store emails to streamline your email management:

  • Read/Unread: Toggle the read status to keep track of unread messages or to revisit emails later.
  • Archive: Move less urgent emails out of the inbox and into the Archive to keep your inbox focused on current tasks.
  • Spam: Report and move unwanted emails directly to the Spam folder.
  • Details and Notable: Mark messages for detailed review or as notable, adding them to the Flagged View with a blue or red flag respectively.
  • Follow-Up: Use this option for emails that require action, marking them with a green flag to ensure follow-up.

Managing Follow-Ups and Flags

To ensure no task goes unnoticed, Zoho Mail’s follow-up feature reminds you of emails that require actions:

  • When marking an email for follow-up, the system changes the flag to green and adds it to the Flagged View.
  • To remove a flag when it’s no longer needed and turn it grey, select Clear Flag.
